What is the Difference Between Microsoft Access and Excel

Manual data management is very tough and complicated. There is much software for storing and managing data. Some of those leading software are Microsoft Access and Microsoft Excel. Both are used to store data. But their applications are different. So here are a few differences between them to clear up the ideas about this software.

Microsoft Access vs Excel

The main difference between Microsoft Access and Microsoft Excel is that in Microsoft Access large amount of data can be stored, and on the other hand, in Microsoft Excel small amount of data can be accommodated. Microsoft Access is also much more secure than that of Microsoft Excel.

Microsoft Access is mainly used for database management in different organizations and companies. This database system is a strong competitor for non-Microsoft outputs like Oracle and Sybase. Microsoft Access is driven by Access Data Engine, which also supports many other Microsoft products. This software can also link and extract data from other applications.

Microsoft Excel was designed and developed nearly 34 years ago. It is mainly a spreadsheet having numbers of rows and columns. It has many other functions like it can solve arithmetic problems, in this software macro programming can be done, in the newer versions updated versions of charts and graphs can be made.

Comparison Table Between Microsoft Access and Excel

What is Microsoft Access?

Microsoft Access was designed and developed in the year 1992. After that, many versions of Microsoft Access came to the market with the updated quality of functions. This software is mainly used for storing a huge amount of data and is normally used for database management in large organizations and companies. This is a great competitor for Oracle and Sybase. The growing popularity of this software is due to many reasons like safety, capacity, etc.

Every record and information can form a relationship between them. This helps to change particular data as changing in one table can automatically change the same data in other tables too. This saves time as well as user workload and also helps to minimize mistakes in the database.

This application is a multi-user application which means that at some time, many users can access the software. The multiplexing of this software is time-sharing. This software also has rows and columns similar to that of Excel, but these are not termed as rows and columns. These are called records and fields.

The process of making a table and tracking the information is termed normalization. Microsoft access is more flexible than that of Excel. In this software, all the data are locked for security. The data are locked at a basic level means in record level, so it provides better security. A large amount of data can be manipulated in this software.

What is Microsoft Excel?

Microsoft Excel was developed nearly 34 years ago. This software supports Windows, Android, Mac OS, and many others. This software is mainly used for storing data and information. This software is most suitable for small projects containing small data information. This software also has many other applications like calculation, visual data system, macro programming facility, etc.

This is mainly a spreadsheet containing many rows and columns. The rows are indicated by numbers, and the columns are represented by letters. This is used for arithmetic calculations. There are formulas for arithmetic calculations. The data can also be made in charts, graphs, and pie charts. These visual data are much better and interesting for presentation to clients.

There is a macro programming facility in Microsoft Excel. The programming is known as Visual Basics for Application (VBA). VBA has functions to create visual graphs, charts etc., as well as this macro program can create processing functions and repetitive functions for data uploaded. All functions of this software are very easy to learn in comparison to other Microsoft software.

The storage capacity of Microsoft Excel is small, so it cannot withhold the database for large projects and organizations. This is not that flexible like Microsoft Access and does not that that many facilities like it.

Main Differences Between Microsoft Access and Excel

  1. Microsoft Access is used mainly for storing data files in a database system for large organizations and companies. On the other hand, Microsoft Excel is mainly used to form spreadsheets and graphs for minimal data.
  2. Microsoft Access is mainly used to collect and store data, but in contrast to that, Microsoft Excel is mainly used to display data through the form of tables and graphs.
  3. Microsoft Access is very tough to learn and needs a longer period, but Microsoft Excel is comparatively easy to learn in a short period.
  4. The memory capacity of Microsoft Access is huge as it is used for large database storage, this is a more secure place to store data, but in comparison to that, the memory capacity of Microsoft Excel is less as it is not used for huge data storage.
  5. Microsoft Access is used in large projects and is used to solve complex problems; however, Microsoft Excel is used for small projects and is used for solving easier solutions.

Conclusion

In recent years the data management system has become one of the leading skills among all engineers as well as business sectors. As a result, the requirement and substitute software for these Database Management systems has increased. There is much software for DBMS like Oracle, Sybase, etc., but the product of Microsoft is always on the lead.

Both Microsoft Access and Microsoft Excel have a huge number of downloads and popularity in the market. Both of these are data storing software, but the difference is in the place of application. One is used for small-scale projects, and on the other hand, the other is used for large projects.
